Define the amount before comparing it

Create a glossary for the financial file: billed, allowed, paid, denied, refunded, recouped, proposed loss and ordered restitution. Use the definitions in the actual source records and note where a payer or expert uses a term differently. A number should travel with its period, entity and purpose. Similar labels do not establish identical calculations.

Preserve competing schedules

Keep the original payer report, government schedule and defense working analysis as separate versions. Record who prepared each and when. Do not replace one with a spreadsheet that blends their assumptions. A reconciliation can identify differences while leaving the originals available for review.

Identify the population and period

A report may cover all claims, a sample, selected codes or one location. Document the population before describing the total. Identify omitted periods, reversals and duplicate records. Questions about sampling, extrapolation and methodology require qualified review; a personal-preparation consultant should not turn a spreadsheet check into an expert opinion.

Keep service documentation in the proper workstream

Records about services rendered, documentation and clinical decisions may matter to the legal team’s analysis. They require appropriate privacy protections and clinical expertise. Your personal account should identify what you actually did and observed, without asserting medical necessity or reimbursement entitlement beyond your knowledge.

Prepare a focused handoff

Use a comparison table with columns for source, amount, period, population, stated purpose and unresolved question. This gives counsel a practical review tool. Connect the financial work to your individual-role chronology so reviewers can distinguish the enterprise’s claims activity from your dates and responsibilities.

Continue your preparation

Can I calculate my own sentencing loss from the audit total?

An audit total alone does not establish a sentencing calculation. Give counsel the underlying report and assumptions and obtain qualified legal and financial review.
