Preserve invoice versions

Identify the contractor, contract, period, invoice number and preparer. Keep revisions, credits and supporting attachments. Distinguish submitted invoices from internal drafts and duplicate exports from separate billings.

Connect supporting work

Index time records, deliverables, expense sources and acceptance records that relate to each invoice. Identify missing support. Specialists and counsel assess whether requirements were met; SAG does not certify performance or offer an audit opinion.

Trace approvals and payment

Record documented review, submission and payment separately. Identify the person’s actual role at each stage. Approval authority, a system login and a completed action are different facts; avoid attributing every event to one participant without evidence.

Keep disputed calculations visible

A billed amount, paid amount and legally relevant loss may differ. Preserve source schedules and the basis of proposed adjustments. Counsel and financial professionals resolve calculation questions; the preparation file should make the competing figures easy to inspect.
